RingCentral’s total cost includes more than its advertised per-user subscription. Your plan, paid users, billing commitment, phone numbers, usage, optional products and applicable taxes or provider fees determine what you actually pay.
A recent official RingCentral number-buying guide advertises Core from $20 per user per month with annual billing. Treat that as a published starting reference, not a guaranteed checkout price. The current main pricing page also presents newer bundles and asks buyers to contact sales for pricing in some configurations.
This guide explains the plans, charges and calculations that matter when comparing quotes. Information was checked October 3, 2026. Dollar references below are US pricing references; other countries, currencies and contracts can differ.
Which RingCentral Product Are You Pricing?
Start with the product, because the RingCentral name covers different services. RingEX addresses employee calling and communications. RingCX addresses contact-centre operations. AI Receptionist and other optional tools can create separate charges.
Example: A company needs fifteen employee calling accounts and five contact-centre agents. It should request a quote identifying both requirements and any overlapping licenses. Multiplying every employee by a contact-centre headline price does not establish the correct budget.
Our RingCentral review explains the wider product family.

RingEX Plans: What to Compare in 2026
The current US pricing-page plan data identifies Core, Advanced, an AI Customer Engagement Bundle with AIR, and an AI Customer Engagement Bundle with AIR and ACE. AIR refers to AI Receptionist; the latter bundle also names AI Conversation Expert.
Other official material still mentions Core, Advanced and Ultra. Existing customers may have different packaging, and regional offers can vary. Identify the exact plan on your order form rather than assuming an older three-tier comparison describes every current offer.
| Plan or package | What to evaluate | Pricing approach |
|---|---|---|
| Core | Everyday calling, meetings and chat requirements. | Official guide references a $20 annual-billing starting rate; confirm current eligibility. |
| Advanced | Requirements across locations, integrations and administration. | Request current monthly and annual quotes for your users. |
| AI Customer Engagement Bundle with AIR | Customer communication and AI receptionist requirements. | Request the bundle price, license scope and included usage. |
| AI Customer Engagement Bundle with AIR and ACE | Customer workflows requiring additional conversation intelligence. | Confirm which users and functions the quote covers. |
| Ultra in existing documents or quotes | The specific entitlement schedule attached to that offer. | Use the actual contract; do not automatically substitute a newer bundle. |
Ask for a feature schedule covering recording, CRM connections, analytics, storage, SMS and administrative permissions. A product demonstration can show optional features, so request written confirmation that each required function belongs to the quoted package.
Example: A sales manager needs automatic recording. The buying question is whether the proposed subscription includes that workflow, its storage and access rules. The existence of a recording button alone does not answer it.
Monthly vs Annual Billing
RingCentral advertises savings of up to 33% for annual payment. “Up to” is a maximum claim, not a discount you should apply automatically to every product, quote or renewal.
A monthly equivalent under annual billing is not necessarily a cancellable monthly subscription. Ask separately about payment frequency, contract duration, renewal and reducing the number of users.
Illustration only: If an eligible five-user Core offer is $20/user/month with annual billing, the base annual subscription is 5 × $20 × 12 = $1,200. That excludes additional numbers, usage, optional services, taxes and fees.
Compare the actual monthly quote with the actual annual quote. Then ask whether promotional pricing ends at renewal and whether newly added users inherit the original rate.
Phone Number Costs
RingCentral’s official number-buying guide says each user receives a dedicated number with the subscription. It lists additional local and toll-free numbers at $4.99/month and international toll-free numbers at $14.99/month plus a $30 one-time setup fee. It also describes a $30 one-time fee for vanity numbers alongside their monthly charge.
Confirm number availability, eligibility and the billing unit for your offer. International toll-free numbers are not the same product as an ordinary local number in another country. Number rental also does not establish the price of every call using that number.
Example: A company adds two eligible local numbers at the advertised $4.99 monthly reference. That adds $9.98 monthly, or $119.76 over twelve months, before applicable fees. Confirm the rate in the order before using it as a final budget.
Calling and Toll-Free Usage Charges
Eligible US plans include US/Canada calling, while other destinations can involve international rates or bundles. Check landline and mobile rates separately for the countries you actually call.
The US RingEX service attachment lists toll-free allowances of 100, 1,000 and 10,000 minutes per account for Core, Advanced and Ultra respectively, with overage at 3.9 cents per minute. These are contractual references for those tiers; obtain the applicable allowances for newer bundles or another region.
Example: Under a Core allowance of 100 minutes, 600 eligible toll-free minutes would leave 500 overage minutes. At $0.039/minute, that is $19.50 before applicable fees. The allowance is per account, so do not multiply it by every user.
Check international credit expiry, auto-purchase settings and external forwarding charges. Unlimited internal extension calling does not mean every call forwarded to an external number is free.
SMS Fees and Registration
Business texting can involve allowances, overage and registration charges. The US service attachment describes pooled SMS allowances generated from per-user allocations and counts both sent and received messages against that pool.
Current pricing-page material and older documents can show different message quantities. Request written confirmation of the allowance for your exact package rather than importing a figure from another plan generation.
Ask which registration and campaign charges apply, how SMS/MMS billing is measured, and whether long messages affect billable units. Also distinguish individual employee texting from a shared customer inbox, which may require an eligible bundle or booster.
Example: Six people share customer follow-up duties. Budget for the conversation workflow they need, including assignment and visibility, rather than comparing only the smallest message allowance.
Taxes and Provider Fees
RingCentral publishes US information covering Universal Service recovery charges, emergency-service fees, state and local taxes, and administrative or infrastructure cost recovery. Applicability and amounts depend on your service and jurisdiction.
Its Administrative & Infrastructure Cost Recovery Fee is a provider-imposed charge. RingCentral states that it is not a tax and is not mandated by a government agency. Keep provider fees separate from government taxes when reading the invoice.
There is no reliable universal percentage to add to every business’s subscription. Request an estimate using the correct service and billing addresses. Ask which charges recur and how they are calculated.
Practical check: Compare the first invoice with the order form line by line. A difference may come from prorated dates, usage, hardware or fees; identify the line item before concluding the base subscription changed.
Optional Products Can Change the Budget
AI Receptionist
The official pricing page lists AI Receptionist from $39/month as a RingEX add-on or $49/month standalone. Both include 100 minutes. Additional usage is advertised at $0.50/minute, rounded up in 30-second increments; additional bundles are also available.
Example: If one eligible $39 add-on uses 250 billable minutes, 150 minutes exceed the allowance. At $0.50 each, the usage adds $75, producing $114 for that add-on before applicable taxes and fees. Confirm how billable time is measured and whether a minute bundle offers a better fit.
Customer Engagement and Conversation Tools
Shared SMS, queue callbacks, live reporting and conversation intelligence should be priced against your actual requirements. Ask whether these arrive through a bundle or separate licenses, and whether charges apply per user, license, account or another unit.
Do not multiply an unqualified add-on headline by your entire team. Obtain the billing basis and users who require access first.
RingCX
RingCX advertises a starting rate of $65/user/month. Ten eligible users would therefore start at $650 monthly before additional requirements. Confirm the commitment, region, AI scope, usage terms and whether any staff also need RingEX licenses.
RingCX is a separate contact-centre buying decision, not simply another RingEX tier.
Calculate RingCentral’s Total Cost
Recurring cost = user subscriptions + number charges + optional products + usage + applicable recurring taxes and fees.
First-year cost = twelve months of expected recurring spending + one-time setup, equipment and migration spending. Adjust this formula for changing headcount, seasonal usage and the actual contract dates.
| Item | Assumption | Monthly estimate |
|---|---|---|
| User subscriptions | Eight users at a hypothetical quoted $30/user. | $240.00 |
| Two additional numbers | Eligible numbers at the $4.99 reference rate. | $9.98 |
| One AI Receptionist add-on | Eligible $39 offer; usage within its allowance. | $39.00 |
| Subtotal before remaining charges | No usage overage included. | $288.98 |
| Taxes, fees and other usage | Must be estimated for the actual account. | Add the applicable amounts. |
The example subtotal is $3,467.76 over twelve months. If the company budgets a hypothetical $400 for equipment and implementation, its first-year subtotal becomes $3,867.76 before remaining charges. Neither figure is a complete payable quote.
Calculate two further scenarios: expected growth and unusually high usage. A low-volume pilot may not reveal the cost of your busiest month.
Contract and Renewal Questions
- What is the subscription term, and how frequently will we pay?
- Which discounts expire, and what will renewal cost?
- How do additional users affect the rate and commitment?
- When can we reduce seats or remove optional products?
- What notice is required for cancellation, and what charges can remain?
- What are the number-porting and data-export arrangements?
Use the agreement and order form applicable to your purchase channel. A marketplace contract, reseller offer and direct purchase can have different terms. Do not assume cancelling an app or stopping use ends the financial commitment.
How to Reduce Spending Without Losing Essential Features
Audit users, unused numbers and optional products regularly. Review required workflows before buying a higher package, and compare the cost of a bundle with separately licensed tools.
Check whether RingCentral can replace an existing subscription that you can actually cancel. Avoid counting theoretical savings when the team must retain another tool or remains under its contract.
Compare providers using the same headcount, countries, numbers, messaging workflow and commitment. Our RingCentral alternatives guide and VoIP provider comparison can help build a shortlist.
Frequently Asked Questions
What is RingCentral’s cheapest published price?
An official number-buying guide references Core from $20/user/month with annual billing. Confirm the current offer for your users and region; it excludes a complete calculation of fees and extras.
Is there a permanent free RingEX plan?
A trial is different from an ongoing paid business-phone subscription. RingCentral advertises an eligible 14-day trial for new subscribers; verify the current trial conditions before starting.
Can I test SMS during the RingEX trial?
The current pricing-page FAQ states that SMS is unavailable during the trial. Arrange a separate evaluation of your messaging requirements.
Are additional numbers the same as additional users?
No. A number charge does not automatically create another fully licensed employee. Confirm the service and user assignment behind each line item.
Are all AI features included?
No. Included assistance and separately priced AI products have different scopes. Ask which tools and usage allowances are included in your quoted subscription.
How do I get the most useful quote?
Provide your headcount, countries, number requirements, calling destinations, messaging volume and essential integrations. Request recurring charges, one-time spending and renewal terms separately.
Is RingCentral Worth the Total Cost?
RingCentral can justify its cost when its calling, administration and communication tools solve specific operational needs. Choose the package that supports those tasks, then evaluate the complete invoice and contract. The lowest starting rate and the largest feature bundle are both incomplete answers without your workflow.
